A Peek Behind the Scenes Before the Event Day

It’s easy to think that our work only takes place once we are on the event site, but the truth is, a lot of planning and preparation goes into each event before we get anywhere near the site itself.

Our team works seamlessly together to ensure that each event runs to plan and that requires communication between the sales team and the crew that will be working that event, as well as some detailed organisation inside the warehouse.


Once the event has been booked and confirmed, our crew take over the job from the sales team. Ideally, they start their preparation a few days before the event but that’s not always possible, especially if they have back to back events to attend, that require the same equipment.


Attention to detail and organisation are key skills that our team are required to have, to make sure they have everything they need to carry out the job to the standard we are used to providing and to the expectations of the client.

We have a couple of key things that help us achieve this. The first is the knowledge and experience of our crew. They have been doing this for a long time and know what kit they will need and always come prepared with spares in case anything fails. Based off of the type of event, number of bands, performers, audience sizes, they will be able to judge what they will need. 


Secondly, we have a equipment rental software that helps us keep track of what is in the warehouse and what is out on a job. This means the team can check things out of the warehouse and keeps everyone up to date on what is available and what isn’t, including the sales team that are continuously quoting and booking jobs in. 


Once the team have assessed what equipment they need, it’s time to load it into the vans. The type of van will depend on which stage is going out, and whether the trailer is needed. Check out our video to get an idea of what loading up looks like.
